Artificial intelligence (AI) is establishing itself as a strategic ally for Costa Rican small and medium-sized enterprises (SMEs) at a time of fiscal changes and increased digitization. This technology is helping thousands of businesses to adapt quickly to the new TRIBU-CR system and version 4.4 of the electronic invoice, in force since September 2025, by automating key processes and reducing human error in tax management.

The transition to the new integrated tax management system implemented by the General Taxation Directorate (DGT) represents one of the most important challenges in recent years for the business sector. According to the Ministry of Economy, Industry, and Commerce (MEIC), SMEs represent 97.4% of the Costa Rican business fabric, which reinforces the importance of having technological tools that allow them to adapt quickly and comply with the new electronic invoice 4..

This was one of the main topics at the AlegraIA event, where Costa Rican entrepreneurs and accounting professionals participated in training sessions, live demonstrations, and networking opportunities.

New advanced features with integrated artificial intelligence

Cloud-based accounting and electronic invoicing software platforms, such as Alegra, provide small and medium-sized businesses with state-of-the-art tools such as Optical Character Recognition (OCR)-converting images into editable digital text- voice-activated invoicing, invoice registration from WhatsApp, automated bank reconciliation (the accounting process of comparing the company's internal financial records with bank transactions to ensure they match), access to inventories and merchandise management from any device, and real-time data analysis.

According to internal studies and monitoring of users who migrated from manual processes to automation, Alegra can reduce repetitive accounting and administrative tasks by up to 90%. The platform recommends and streamlines routine operations to enhance the strategic role of entrepreneurs and accounting professionals, who remain in control of strategic and fiscal decisions.

“Artificial intelligence does not replace the work of accounting professionals, but rather strengthens it. By automating repetitive tasks and reducing the margin of error, AI allows us to focus on what is truly strategic: analyzing information, anticipating risks, and driving business growth. It is a tool that raises the quality of professional services and significantly improves decision-making,” said Kevin Chavarría, former president of the Association of Private Accountants of Costa Rica.

The use of AI also simplifies tax compliance by automating all tax and administrative processes required by TRIBU-CR. Alegra is designed to immediately adjust to the technical parameters required by the DGT, ensuring full compatibility with electronic invoicing 4.4 and the tax system, without the need for manual intervention.

These features also contribute to business transparency and formalization. By eliminating the margin for error in issuing receipts and offering full transaction traceability, companies strengthen their relationships with suppliers, customers, and tax authorities.

To date, more than 72,000 SMEs have registered on the Alegra platform in Costa Rica, most of them led by women (64.5%) and people under 35 (36%). For Costa Rica, since the start of electronic invoicing 4.4 in September 2025, more than 164,000 receipts have been issued under this standard, according to data provided by the system and official publications.
