Autovitals Launches Otto Notes, AI-Powered Technician Notes Rewrite To Increase Approvals
Otto Notes is the first feature powered by Otto, AutoVitals' AI engine. Otto is built to help shops deliver clearer inspections, more effective communication, stronger results, and increased shop efficiency.
Turning Technician Expertise into Approved Work
Otto Notes helps shops turn technician notes on digital vehicle inspections into clear, educational, and customer-friendly explanations that build trust to drive more approved work.
Technicians are experts at diagnosing vehicles, but their notes are often brief, technical, or focused on what is wrong without explaining why it matters. Otto Notes bridges that gap by transforming technician notes into easy-to-understand explanations with one click. This dramatically improves the quality of the information shared with the customer without slowing down the inspection process.
"Shops shouldn't have to choose between efficiency and outstanding customer service and communication," said Jennifer Thronson, COO at AutoVitals. "Otto Notes helps service teams clearly explain recommended work in a way customers understand, which leads to higher confidence and increases average repair order."
How Otto Notes Works
By clicking on the AI icon, service advisors and shop managers can now rewrite technician notes into customer-friendly language on the Today's Vehicle Page (TVP), including on the:
- Inspection Reports tab
Images & Notes Editor The Work Order tab
AutoVitals trained Otto on proprietary educational videos that explain over fifty common service needs. Each rewrite follows built-in guidelines to:
- Clearly explain why a condition matters
Address safety, performance, and vehicle longevity Avoid alarmist or high-pressure language
Before rewriting a note, Otto will take into context:
- Existing text in the notes field
Section name Status name
Topic name
This ensures the rewritten note is accurate and reflects the technician's intent.
For example, if a technician enters "cracked" for a serpentine belt, Otto will generate a clear explanation describing what the belt does, why cracks matter, and what could happen if the issue is left unaddressed.
If your service advisor or manager wants to make changes to the Otto Note, they can:
- Revert to the original technician note
Edit the rewritten note Regenerate a new note using our AI
The result is consistent, polished communication that reinforces professionalism and transparency throughout the repair process.
Built with Data Security in Mind
Otto Notes was designed with data privacy and security as a top priority. Only the technician note selected for rewriting, along with the section name, status name, and topic name, is sent to AutoVitals' secure environment. The system never shares:
- The full inspection
Vehicle or customer details Shop-identifying information
Customer data remains protected, and no information is used to train external AI models.
Availability
Otto Notes will be included for AutoVitals clients on our SmartFlow, SmartFlow.X, or Digital Shop.X packages at no extra cost*.
